Office Administrator / Bookkeeper
The Marijuana Policy Project, a fast-paced, well-respected lobbying organization, is seeking an Office Administrator/Bookkeeper, to manage MPP's main office in Washington, D.C., do all bookkeeping, and assist the executive director.
This position is an excellent opportunity to gain exposure to all aspects of operating a fast-paced grassroots lobbying organization.
QUALIFICATIONS
The successful candidate will be a highly organized self-starter with excellent written and verbal communication skills, meticulous attention to detail, and a professional demeanor and appearance. Experience with accounting, bookkeeping, or QuickBooks is strongly preferred.
RESPONSIBILITIES
The work of the Office Administrator/Bookkeeper falls into three basic categories:
1. Personal Assistant to Executive Director (15% of job)
- Assisting the Executive Director with day-to-day tasks, such as scheduling meetings;
- Making all travel arrangements for the Executive Director; and
- Helping the Executive Director with special projects, as needed.
2. Office Manager (for D.C. office with 22 full-time staffers, 10% of job)
- Answering MPP's main phone line;
- Ordering office supplies;
- Opening and sorting mail;
- Scheduling and overseeing office temps;
- Receiving visitors and shipments at the front desk; and
- Managing office's vendor relationships (insurance contracts, leases, office equipment maintenance contracts, phone service, water service, and so forth).
3. Administering Payroll, Benefits, and Accounting (75% of job)
- Maintaining accurate and up-to-date financial records in QuickBooks;
- Paying all bills;
- Managing monthly payroll via payroll vendor;
- Managing health and retirement benefits for employees, including health care, dental, Simple IRA retirement plan, deferred compensation plan, life insurance, and transportation benefits;
- Completing all new employee and terminated employee paperwork;
- Managing filing system for all financial records and reconciling financial data;
- Managing MPP's legal entities in various states (business filings, employer tax filings, applications for any new states); and
- Preparing MPP's 990s and working with MPP's auditor.
The Office Administrator/Bookkeeper reports to MPP's Executive Director.
COMPENSATION
Salary is $35,000-$42,000, commensurate with experience, plus full health insurance and an optional retirement plan.
